Swaran Soft Support Solutions Pvt. Ltd. is an enterprise AI and digital transformation company headquartered in Gurugram, India, with offices in the UAE, Estonia, and the USA. We build Agentic AI platforms, custom enterprise applications, managed AI services, and digital solutions for large Indian and Middle Eastern enterprises.
Our associated platform ecosystem includes Gignaati — a gig economy and freelance marketplace platform — and several partner-facing digital products that connect colleges, corporate partners, and service providers across India. The Project Coordinator will operate across this ecosystem, bridging technology, operations, and stakeholder management in a single high-ownership role.
This is a role for someone who thrives in a fast-moving, multi-workstream environment — equally comfortable reviewing a sprint board in the morning, coordinating a college partner event in the afternoon, and following up on a vendor payment by evening.
The Role
As Project Coordinator, you will be the operational connective tissue across our technology, partnership, and business development functions. You will work with developers, QA engineers, UI/UX designers, vendors, college partners, and senior leadership — making sure that deliverables move forward, blockers are escalated early, and nothing important gets dropped.
This role requires someone who can context-switch rapidly, communicate with both technical and non-technical stakeholders with equal confidence, and take full ownership of follow-ups without needing to be reminded. You will not be handed a tightly defined process — you will often be the person who creates the process.

Key Responsibilities
Platform & Technology Coordination
- Coordinate day-to-day delivery across the development, QA, and UI/UX teams — tracking sprint progress, flagging blockers, and ensuring platform updates ship on schedule
- Manage sprint boards (Jira, Linear, or equivalent) — creating tasks, updating statuses, logging bugs, and generating weekly progress reports for stakeholders
- Liaise between business stakeholders and the engineering team to translate requirements into clear task briefs — ensuring developers receive unambiguous specifications
- Track open issues, feature requests, and defects through their full lifecycle from identification to verified closure
- Perform basic UAT and functional testing on new releases — validating workflows, form behaviour, API responses, and UI against requirements before sign-off
- Support BA activities including requirement documentation, user story writing, process flow mapping, and acceptance criteria definition
- Monitor platform performance and coordinate with the tech team on incident response — logging, triaging, and tracking resolution of production issues
Partner, Vendor & Portal Management
- Manage relationships with external partners, vendors, and service providers — tracking deliverables, resolving disputes, and ensuring SLA adherence
- Coordinate portal workflows for partner onboarding, profile management, content updates, and account-level operational tasks
- Own vendor communication for operational requirements — briefs, timelines, approvals, invoices, and delivery confirmation
- Manage social and media task coordination — briefing content teams, tracking post schedules, and following up on approvals for platform-related announcements
- Maintain a master partner and vendor tracker with current status, pending actions, and escalation flags — reviewed weekly with the operations lead
Events, College Programs & Field Operations
- Support the planning and execution of college partner events, campus engagement programmes, and partner meet-ups across India
- Coordinate event logistics end-to-end — venue, travel, materials, agenda, attendee communication, and post-event follow-up documentation
- Travel to colleges, partner locations, and events across India as required — representing the company on the ground and managing field-level coordination
- Build and maintain relationships with college POCs, placement officers, and student community leads for ongoing programme delivery
- Coordinate with internal teams to prepare event collateral, presentations, demo environments, and registration workflows
Daily Operations & Follow-Up Management
- Own the daily operational follow-up rhythm — ensuring that every open action item across platform, partnerships, and events has a named owner, a deadline, and a current status
- Maintain a shared operational dashboard or tracker that gives leadership real-time visibility into what is open, at risk, or overdue
- Send structured daily or weekly status updates to relevant stakeholders — concise, accurate, and action-oriented
- Identify process gaps and propose improvements — you are expected to flag inefficiency and suggest fixes, not just execute what you are told
- Support leadership in preparation of decks, meeting notes, MoMs, and operational reports as needed
Skills & Experience Required
Must-Have
- 2–4 years of experience in tech project coordination, business analysis, or product operations in a technology company
- Strong verbal and written communication skills in English and Hindi — you can write a crisp MoM, brief a developer, and brief a college principal in the same day
- Demonstrated follow-up discipline — you close loops, you do not leave threads hanging, and stakeholders trust that you will get back to them
- Comfortable working with technical teams and technical tools — you do not need to write code, but you understand sprint workflows, bug tracking, API basics, and product releases
- Hands-on experience with at least one project management tool — Jira, Asana, Trello, Linear, or equivalent
- Proficiency in Google Workspace and MS Office — especially Sheets/Excel for tracking and Docs/Word for documentation
- Willingness to travel across India for events, partner visits, and college programmes — this is a genuine requirement, not aspirational
- High ownership mindset — you treat your assigned workstreams as your business, not your task list
Strong Advantage
- Prior experience in a SaaS, AI, EdTech, or digital platform company — familiarity with the pace and vocabulary of these environments
- Experience performing UAT or basic functional testing — understanding what to look for when validating a build
- Exposure to BA activities — requirement documentation, user stories, process mapping, or stakeholder interview notes
- Experience coordinating with college or educational institutions — campus events, placement-related programmes, or student community engagement
- Comfort with API tools like Postman for basic testing and verification of integrations
- Familiarity with CRM tools (Zoho CRM, HubSpot, or Salesforce) for partner and vendor pipeline tracking
- Experience using AI productivity tools for documentation, meeting summaries, and operational reporting
