We enter enterprise accounts through a fixed-fee, 8-week Agentic AI pilot — a structured, low-risk proposition that gives clients measurable outcomes before a full transformation commitment. From there, we deliver full rollout, managed services, and custom application development.

Our sales team is growing, and we are looking for a Sales Coordinator who can become the operational backbone of our enterprise sales effort — keeping our pipeline clean, our proposals sharp, and our client communication seamless.

The Role
The Sales Coordinator sits at the intersection of sales, delivery, and client communication. You will work directly with the Sales Manager and Business Development team to ensure that every lead is followed up, every proposal goes out on time, every meeting is prepared for, and every deal in the pipeline is accurately tracked.

This is not a passive support role. You will own the sales calendar, manage the CRM, draft outreach and proposals, coordinate between the technical and sales teams, and be the person who makes sure nothing falls through the cracks. You will have direct visibility into Swaran Soft's most strategic client conversations — and the opportunity to grow into a full business development role if you perform.

Key Responsibilities
Pipeline & CRM Management
  • Own and maintain the sales CRM — ensuring all leads, opportunities, contacts, and deal stages are accurately updated in real time
  • Track the full sales pipeline from first contact through proposal, negotiation, and closure — flag stalled deals and follow-up gaps to the sales team proactively
  • Generate weekly and monthly pipeline reports for the Sales Head and CEO — deal volume, stage distribution, conversion rates, and revenue forecast
  • Maintain a clean, segmented lead database across India and Middle East enterprise accounts by industry vertical and decision-maker level
  • Coordinate lead handoff between marketing inbound and sales outbound — ensure no qualified lead is missed or delayed
Proposal & Documentation Support
  • Coordinate the end-to-end preparation of sales proposals, capability decks, and pilot scopes — liaising with the technical team to gather inputs and with the sales lead to shape the commercial narrative
  • Maintain a master library of proposal templates, case study snippets, service descriptions, and pricing frameworks — keep these updated as Swaran Soft's portfolio evolves
  • Draft and format client-facing documents including introductory decks, meeting follow-up summaries, and scope-of-work outlines
  • Ensure all proposals go out within agreed turnaround times — own the proposal calendar and flag delays before they happen
  • Track proposal outcomes — win, loss, no-decision — and maintain a record that informs future positioning and pricing
Sales Communication & Client Coordination
  • Draft and send follow-up emails after meetings, demos, and proposal submissions — professional, prompt, and aligned with the sales conversation
  • Coordinate scheduling of discovery calls, pilot presentations, and stakeholder meetings — manage calendars across sales team members and client contacts
  • Prepare pre-meeting briefs for the sales team: client background, open items, decision-maker profiles, and context from previous conversations
  • Maintain communication logs for all active accounts — ensuring the sales team has full context before every client touchpoint
  • Support onboarding coordination for new pilot clients — liaison between sales, delivery, and the client's point of contact in the early weeks of an engagement
Sales Operations & Coordination
  • Coordinate internally between the sales team, technical delivery team, and finance for proposal approvals, contract documentation, and invoice triggers
  • Track contract and agreement timelines — follow up on unsigned MSAs, SOWs, and pilot agreements to prevent deal stagnation
  • Support the Sales Head in preparing for client meetings, industry events, and CXO roundtables — logistics, materials, and attendee coordination
  • Monitor competitor activity, market news, and enterprise AI developments — share weekly intelligence briefs with the sales team
  • Assist in identifying cross-sell and upsell opportunities within existing accounts based on CRM data and delivery team feedback

Who We Are Looking For
Must-Have Skills & Background
  • 2–5 years of experience in sales coordination, inside sales, pre-sales support, or B2B sales operations — preferably in IT services, SaaS, or technology consulting
  • Strong command of CRM tools — Zoho CRM, HubSpot, Salesforce, or equivalent — with experience maintaining pipeline data, generating reports, and tracking deal stages
  • Excellent written communication — you can draft a follow-up email, a proposal cover note, or a meeting summary that is clear, professional, and reflects well on the company
  • Strong organisational skills — you manage multiple open threads simultaneously without dropping the ball, and you bring structure to chaotic sales environments
  • Comfortable working with MS Office and Google Workspace — PowerPoint/Slides for decks, Excel/Sheets for tracking, Word/Docs for proposals
  • Ability to understand technical service offerings at a high level — you do not need to be an engineer, but you need to be able to explain what Agentic AI is to a client without flinching
  • Proactive communication style — you flag problems early, ask questions before assumptions, and keep stakeholders informed without being asked
Good to Have
  • Prior experience in an AI, automation, or digital transformation company — familiarity with enterprise technology sales cycles
  • Exposure to Middle East or international B2B sales coordination
  • Experience preparing RFP responses or capability presentations for large enterprise accounts
  • Working knowledge of LinkedIn Sales Navigator for lead research and prospecting support
  • Basic understanding of the enterprise software/AI integration landscape — CRM systems, messaging platforms, workflow tools
